Administrative Assistant I - General Magistrates

Position description

The Ninth Circuit seeks an Administrative Assistant I to be responsible for performing a variety of administrative, organizational and clerical duties in assisting and managing the daily operations and support functions of the General Magistrate office. This position will be located at the Orange County Courthouse, 425 N. Orange Avenue, Orlando, FL 32801.

Duties include performing customer service functions as the litigant’s first point of contact; working closely with Magistrates and court deputies to assist parties to and from hearings; maintaining the department's internal database; providing current monthly statistics on referrals and hearings; distributing referrals from queues to an assigned Magistrate; preparing form orders as directed; conforming and preparing Magistrate reports and orders for distribution; and performing other administrative duties as required.

This position works at the direction of the Administrative Magistrate and must have the ability to exercise the highest degree of judgment, tact and diplomacy while working both independently and under direct supervision. The selected candidate will be self-motivated, be able to work closely with others, be detail oriented and have a proven ability to adhere to strict confidentiality in the workplace. The role demands excellent computer skills and an ability to quickly acquire and work proficiently with a variety of computer programs. Must have effective use of business English, spelling, grammar and punctuation. Must have superior organizational skills and a capacity to interact professionally and effectively with others, to include judges, coworkers, government officials, law enforcement, and other outside agency staff.

A bachelor's degree and one year of experience in business, public administration, legal support or a related field utilizing general office skills is preferred. Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.
